Project Overview
Xinc is a Tokyo-based company that required a sophisticated AI chatbot to automate customer interactions and internal workflows. Working remotely on a part-time engagement, I designed and built the chatbot leveraging OpenAI's ChatGPT APIs, while optimising app performance and mentoring the local team.
The Problem
The client needed an intelligent conversational interface that could handle complex, context-aware dialogues. The existing application also had performance bottlenecks that needed resolving before scaling the new chatbot feature.

Designed conversation architecture, prompt engineering patterns, and context management for natural multi-turn dialogues.

Integrated OpenAI's ChatGPT APIs with error handling, rate-limit awareness, and token usage optimisation.

Profiled the existing application, identified bottlenecks, and reduced response times through caching and query improvements.

ChatGPT's API is stateless, so I built a session-aware context management layer that compresses conversation history intelligently to stay within token limits.
Cost-Efficient Token Usage
I implemented prompt compression, response caching for common queries, and a tiered model strategy (GPT-3.5 for simple, GPT-4 for complex) to keep costs predictable.
Cross-Timezone Collaboration
Working across a significant timezone gap with Tokyo required async-first communication, detailed documentation, and recorded implementation walkthroughs.
